Musician Leave (organized by Leave Type)

Description

Displays each type of Musician Absence or Extended Leave, and all musicians on that leave. Includes musician name, address, instrument(s) and phone numbers.

To run the report

In the Musician Pay Rates* area of OPAS, use any combination or method of search techniques to isolate a set of musicians (core players and/or substitutes). You can have any number or type of musicians.

With the desired Musicians displayed on the List screen, click the Report icon (or press the F4 key on your keyboard). Select the Absence by Leave Type  report.

Description

Similar to the report above, but organized by Musician. It shows the Musician (with instrument and contact information) and each type of leave or long-term absence assigned to that musician (in chronological order)

Orchestra Roster - Concise 'one page' format

Description

Prints a simple roster of musicians, organized by Instrument, with address and contact information.  About 40 musicians fit on one page

Description

Prints a simple & quick roster of the orchestra musicians you choose, showing the hire date and years of service

Mailing Labels for Musicians assigned to Activities

 

Description

Avery 5160 labels for musicians assigned to any number or combination of activities you select in the Dates area. There are five different options:

  • All Musicians - all core orchestra members, subs and chorus
  • All Musicians / Name Only (does not include address)
  • Subs Only - names/addresses for only substitute or Extra orchestra musicians
  • Chorus Only
  • Orchestra Only - names/addresses for all orchestra musicians (omits chorus members if any area assigned)

Download this file and extract (unzip) it to the OPAS\REPORT_ART folder on your Server (nothing is installed on your PC). Restart OPAS on your own PC (there is no need to restart the server).

 

To run the report

Select any number or combination of activities in the Dates area & select the desired format. Instructions are here.

Personnel Roster with Contact Information - Name sorted & Instrument Sorted

 

Description

For any activity, this report prints the concert dates, conductor/soloist, program and all assigned musicians with Address and Phone numbers.

There are two versions - one groups musicians by section, the other lists all musicians in alphabetical order

Click here and download the file to your computer. Unzip / Extract it to the OPAS\REPORT_ART folder on the Server.

 

To run the report

In the Dates area of OPAS, go to the Main or Program screen for the first concert in any Project set.

Click the Report icon (or press F4) and select either:

  • Personnel Assigned - with Contact Info (instrument sorted)

  • Personnel Assigned - with Contact Info (name sorted)

Extra Musicians Required (detailed output)

Description For any date range you select, the report compares the instrumentation required for the works programmed against your orchestras core or basic instrumentation. It shows you which works exceed that instrumentation, and by what number for each instrument.

This report does not require you to use OPAS Extended - it runs with any version of OPAS.

Instructions - Important: 

In order for this report to run, you first have to tell OPAS your core or standard instrumentation. Otherwise, the report won't know what it is supposed to compare the programmed works against. This only takes a few moments to do and needs to be done one time only..

From the OPAS main screen, click the Background Data 1 | Instrumentations... menu item.

This will bring up the instrumentation screen shown below. Fill in the number of each instrument that constitutes your core or basic ensemble size. Remember to include strings if applicable.

Give the Instrumentation any name you want, but it is imperative that the CODE for this Instrumentation says OWN as shown below.  ("Own" doesn't have to be in all caps)

When the report runs, it looks for the Instrumentation with the Code of OWN and uses those instrument numbers as the basis of comparison against each work programmed.

This report can be expanded to allow you different core instrumentations (for example, your Pops orchestra may employ different forces than your classical orchestra). Contact Fine Arts Software for details.

The report can also be enhanced to include musician fees so that you can see the cost of the extra musicians.

ATA Carnet General List

Description This report produces a fully-formatted Carnet General List for the Transport Cases you choose. The same report can be run from either the Transport Cases area of OPAS or from the Tours area.

Season Control (Service Count and Analysis)

Description This report produces a consolidated schedule for the time period you choose and shows the service totals for each day and each week.

Extra Musician Agreement

Description This report produces a letter that spells out the specific date/time/venues/works to which a musician has been assigned.

It is primarily intended to be a communication tool for extra musicians.

Personnel Worksheet Summary (Activity Roster)

Description This report produces a one-page roster for an activity (concert or rehearsal). The top shows Project and date/time/program information. The lower portion displays the orchestra personnel grouped by instrument and displayed in stand/chair order

To run the report In the DATES area of OPAS, isolate any single activity -  be it a rehearsal or concert - to which you have assigned musicians (using the Service Attendance area).

From the Program page of that concert, click the report Icon and select the Personnel Worksheet Summary report and click Preview.  When the report is done, click Open.

Revisions, Notes or Comments Based on the format used by the Oregon Symphony.

With larger orchestra rosters (or long programs), you may need to print the body of the report in 8-pt type or the header in 9-pt type in order to fit the report on one page.

The report will indicate any work that has reduced strings and will indicate (by an "X") those string players who do not appear on those works.

Musician Directory

Description Prints a simple directory of the musicians you select (substitutes, staff, etc.), organized by instrument section.

Basic contact information is included and the report features a table of contents so you can "click" down to any section you like
