Activity Details

The DATES area of OPAS contains complete information for each of your orchestra’s activities.  There is no limit to the number or type of events you can create and track, and OPAS organizes these events in a logical and straightforward manner.  Concerts, rehearsals, run-outs, dress rehearsals and other activities are grouped into Projects (“Subscription Week 1”, for example) and within Seasons.  This makes yearly and seasonal data analysis easy and consistent, and allows OPAS to manage activities across the entire spectrum of your organization - core orchestra activities, education activities, hired servies, presentations, etc.  

In addition, you can assign different “Series” to each concert, making it easy to track and sort by different marketing and ticket-buying packages.  Powerful copy features make it easy to build an entire season, and to apply changes made in one concert to all other activities in the Project.

Each activity can have as many compositions as you need.  OPAS tracks the running time of each concert by automatically combining individual work timings (including Intermission(s)).  At the same time, distinct instrumentation information is displayed for each work through pop-ups, and OPAS shows the total instrumentation for the scheduled works.

Similarly, an unlimited number of Soloists can be assigned to the work(s) on which they perform and can be ordered in any way you wish.  OPAS also allows you indicate “Other Participants” such as hosts, masters of ceremony, sponsors, cover conductors and choral conductors who are involved with the activity, but not may not assigned to any specific work.

The Dates area also allows you to store, track and search by Production information or other user-defined data.  You can create customized checklists lists to track logistical and production details. 

OPAS provides the ability to link documents to any activity in the database.  Production notes, Reviews, Stage Diagrams, Box Office Settlements, Program notes, sound clips and any other type of digital file can be permanently archived against the concert to which it pertains.

OPAS’s powerful filtering tools enable you to work with virtually any combination of events in the Dates section, find events defined by virtually any criteria, and to view only those events you need to see.  A wide variety of printed schedules and reports are included with OPAS, and virtually any calendar or schedule format can be reproduced.
