"Append Program" Function

This data function allows you to quickly copy or bring in the concert program and soloist(s) from another OPAS activity to the activity you are currently working on.

The Append Program function consists of five files. All five files are placed into the same folder: the OPAS\PROGRAM folder on your server (that is, the PROGRAM sub-folder within the main OPAS directory or folder on the Server). As with reports, the files need be placed in that one location only (they don’t need to be copied to local workstations). As with reports, each user of OPAS will need to restart OPAS on his/her computer in order to see the new function.

And then double-click on the file. You’ll see this screen:

Locate the OPAS\PROGRAM folder on your SERVER, and click the Unzip button.

 

RUN THE FUNCTION (Demonstration Database used - not meant to reflect the activities of any actual orchestra)

The "Append Program" function copies the works from a designated activity to activities you have selected.

In this example, suppose that of the activities that comprise Subscription Week 5, only the concert on Sunday March 3 has a program attached to it (the highlighted concert in the picture below). All other activities are accurate, they just don't have any works attached.

To copy the program from the concert on Sunday, March 3 to the other five activities in this Project, first isolate those five activities by CTRL+Click or SHIFT+Click.

NOTE that the "Append Program" function can be applied to either a single activity or a number of activities, even those that span different Projects. The function will run on whatever activities you're looking at when you execute the function.

With the five desired activities showing on the List screen, click the Function Icon at the top left of the OPAS screen (the little cog wheel), and choose "Append Program from..."

OPAS will open the Select Program window as shown here. This window displays all Activities (from the same Season) that have works attached. Note that in our example, only the concert from Subscription Week 5 is displayed (as the other activities in that Project do not yet have any works).

 

Click the activity from which you wish to copy the program (the highlighted concert in our example above), and click the green OK button in the lower right-hand corner.

Note that the function is additive, which means that it adds works to the target activity or activities, it does not replace them. So, if you have:

Rehearsal 1 - Work A, Work B
Concert 1 - Work C, Work D

...and you run the Append Program function to copy the program from Concert 1 to Rehearsal 1, the results will be:

Rehearsal 1 - Work A, Work B, Work C, Work D
Concert 1 - Work C, Work D

The function ADDS works C and D, it does not delete works A and B.

 

REFINEMENTS / ADDITIONAL INFORMATION The Function was primarily designed for situations such as the example above - it allows you to create a Project, and assign the program to only one performance in the Project, especially in cases where the program/soloist hasn't been finalized. Then when you're ready to assign works to the Rehearsals, this function will make it easy to do so.
