Change Performance / Production Week 

This data function allows you to modify the calculated values of the OPAS Performance or Production Week to account for vacations, anomalies in the season structure, etc.

The Change PW function consists of five files, contained in a self-extracting archive and located at the link below. Click or Right-click the link to download the self-extracting file to your computer desktop or another convenient location.

When you double-click the downloaded ChangePW.exe file, a window will open that will ask the destination of the five files.  

Use the Browse button to locate the OPAS\PROGRAM folder on your server and click the large Unzip button at the top right of the window. (note that these files go to the "Program" folder and not the Report_Art folder as do reports)

OPAS must be restarted on individual computers in order to see the new data function but you do NOT need to restart the server.

 

RUN THE FUNCTION While you can run the function on any date range or combination, it is advised that you start at the beginning of the season and work forward in time to avoid confusion.

Using this set of concerts as an example, note that week 18 of the season is taken up by vacation. OPAS keeps numbering the weeks automatically so when the orchestra starts up again on January 7, the week number is 19:

If you want to "skip" the vacation week and start the week of January 7 at week number 18:

Open the SCHEDULING area of OPAS (you need to do this so OPAS can link the PW value to the calendar year and take into account any weeks for which you do not yet have activities scheduled).  The Main Data | Dates | Scheduling menu item will take you to this OPAS area.

At the "Green Screen" simply click the Function icon at the top left of the computer screen, right next to the report icon (note that you do not need to execute any search; the function runs on an "empty" screen)

Choose the Create/Change PW function (it will be the only one in the list) and click the Start Function button

OPAS will display this window at which you fill out:

Start Date - the day at which the new numbering should start

Start Number - the number that should start the new week

Number of Weeks - the number of calendar weeks that should be recalculated, counting out from the Start Date.  Normally this will be the number of weeks until the next break or vacation, or the number of weeks until the end of the season. Note that OPAS counts the number of weeks by the calendar and not your schedule - that is, the function counts a strict 7 days for each week.

Click OK and OPAS will recalculate the week numbers - it will display a Finished dialog box when it is done.

Back in the Dates area, the week following the Vacation is now week 18 instead of 19, and the next four weeks follow the new sequence.

 

REFINEMENTS / ADDITIONAL INFORMATION Suppose now that you want to change the number of the Vacation week itself (you don't want the Vacation week to also be week 18)

Back in the Scheduling area, click the Function icon and run the function again.

This time, the Start Date will be the week of the vacation, which starts on December 31.  

The Number is 55. Why?  Due to the number of calculations and report functions that are based upon the Performance Week, OPAS cannot accept a PW value of zero.  So, you need to use some number that is obviously not a valid week of the season or year. We recommend an easily identifiable and consistent number for all vacation weeks (55, 77, 99, etc). The number itself is arbitrary and the same number can be used for all such "off" weeks in the season.

The Number of Weeks is 1 which is critical so the number 55 doesn't spill into the week starting January 7 (which was just reset to week 18).
